Equipment details
Full details can be recorded against each item in the fleet, including purchase details, serial numbers, make, model, weight internal notes and information to be displayed on each hire contract.
Maintenance History
The details and costs of services, repairs and other maintenance activities may be recorded over the lifetime of the fleet item. This means you can see instantly what work has been done and when, and how much money has been spent on maintaining it.
Reminders
Reminders can be used to record upcoming services, certificates renewals, or for any other event. ‘Services Due’ lists can be viewed or reported on, and hire desk can be alerted when they hire out items that are due for service. The services due list will show the hirer and location of the machine, to help track down the items that require servicing. Reminders play an important role in ensuring your fleet receives the requisite maintenance and certification, and in minimising the time when items are unavailable for hire.
Contract History / Utilisation
The system automatically keeps a history of which contract each item has been hired out on, and how much it has earned on each hire. You can easily identify which types of item are being underutilised. For any particular item, a summary screen shows total income and utilization, plus the profit made against depreciation and other running costs. This type of information is essential for business planning, and can help value fleet items that are to be sold off.
Safety Leaflets
If you have safety leaflets / operating instructions in electronic (pdf) format, then these can be loaded into the system. Hire desk staff can then be prompted automatically to print the appropriate leaflets according to the equipment being hired out, improving your service to less experienced customers and hopefully cutting down on the number of calls for assistance.
Stock Checks
Stock Check reports may be printed and the results of stock checks may be entered on to the system, so you can verify your equipment (both fleet numbered and bulk items) is where it should be.
Meter Readings / Excess Charging
Meter readings may be captured at the start and end of each hire, plus when an item is serviced, or at any other time. If you decide to charge the customer for excess usage (over a specified number of units per week), then any applicable charge will be automatically calculated and invoiced by the system. The readings used for charging may be entered during the hire, plus when the item is off hired. Recording meter readings will pinpoint the exact usage of the equipment, and can ensure that any over-use is paid for by the customer. They may also be used to provide a countdown to the next service.
